  • Overview

    Working in conjunction with the Senior Director of Advancement and Marketing and the Marketing Manager, the Events Manager will be responsible for coordinating all aspects of the organization’s three major fundraising events, smaller cultivation and stewardship events and the Annual Meeting. S/he will also coordinate Valley Cast -- the organization’s arts and culture initiative – including art exhibits and openings, theater offerings and concerts.


    • Oversee all aspects of large-scale annual fundraising events including budget, logistics, and communication. Logistics may include potential site research, performer/speaker research and communication, vendor research and management (catering, etc.), décor, and A/V needs.
    • Oversee small fundraising, cultivation and stewardship events, and the organization’s Annual Meeting including managing logistics, venue, communications and vendors.
    • Manage sponsor requests.
    • Responsible for invitation, save the date and poster development, mailing and response tracking in collaboration with the Marketing Manager.
    • Determine volunteer needs; recruit, train and recognize event volunteers
    • Input data into advancement database and/or event tracking software.
    • Research and implement event tracking software and mobile bidding software, as needed.
    • Develop post-event reporting and acknowledgement plans.
    • Assist in the development and implementation of event marketing plans including social and print media.
    • Develop plans for Valley Cast in collaboration with the Valley Cast Board and the Senior Advisor.
    • Research potential exhibits for the organization’s art gallery, with emphasis on collaborations with local groups.
    • Select and schedule performers for concerts and other special events.
    • Manage the schedule for companies using the organization’s theater spaces: date reservations, rehearsal schedules, etc.


    • Excellent organizational and communication skills.
    • Ability to develop and manage a budget.
    • Able to work effectively with a variety of stakeholders and vendors.
    • Knowledge of or a strong interest in culture and the arts.
    • Ability to multitask and work effectively under tight time constraints and changing needs.
    • Proficiency with Microsoft Word, Excel spreadsheets and development


    • Bachelor’s degree
    • Two to three years event experience preferred
    • Some local travel: driver’s license and reliable transportation required.
    • Able to work evening and weekend hours required to meet deadlines and for specific events.
